Safe AI deployment in public administration
We support administrative authorities, regulatory agencies and public finance sector bodies in deploying AI systems responsibly and lawfully – in forms adapted to public procurement, inspection procedures and state audit standards.

What we do for public administration
Six modules from which a project is built – in full or in part, exactly to the scope the contracting authority needs.
Program Design
Designing AI deployment frameworks compliant with national and EU regulation: policies, procedures and system acceptance criteria.
Operational Assurance
Independent verification of operational readiness before production deployment. Integration testing and assessment of failure scenarios.
Risk assessment
Analysis of systemic and operational risks in line with AI Act requirements (Annex III) and sector regulatory standards.
Vendor Assurance
Assessment of AI vendors in tenders and procurement procedures. Verification of declarations of conformity and technical documentation.
AI Literacy training
Programs for senior management and public administration staff – competences for oversight and responsible use of AI.
Interoperability
Common standards for data, evidence and procedures across institutions – from regulatory sandboxes to procurement templates.
State interoperabilityWhat the contracting authority receives
Every engagement concludes with documentation that can be presented to an inspection body – describing the method, scope of testing, results and limitations.
Evidence documentation
A complete set of artefacts that stays with the contracting authority.
- AI system validation report (executive and technical)
- Risk matrix with residual risk assessment
- Test protocols and verification logs
- Statement of compliance with AI Act requirements
- Evidence Pack ready for inspection by NIK (Supreme Audit Office) / UOKiK
Quality indicators
Metrics that show the validation has been successful.
- Test coverage – minimum thresholds per risk class
- Documentation compliance level (%)
- Delivery time: 2–12 weeks depending on scope
- Auditability – a complete decision trail
- SLA for reports and responses to RFI questions
From briefing to evidence pack
Briefing
45 minutes: scope, risks, timeline
RFI / ToR
Procurement document templates
Validation
Testing, data, processes, oversight
Evidence Pack
Report and complete set of evidence
Public procurement and AI validation
Are POLIVERSUM services compliant with the Public Procurement Law?
Yes. We provide our services in forms compatible with the Polish Public Procurement Law. We maintain standard RFI/RFP documentation and Terms of Reference (OPZ) templates.
How is confidentiality ensured?
Every engagement is preceded by the signing of an NDA. We process data and documentation exclusively on infrastructure compliant with the GDPR and national cybersecurity requirements.
What are the measurable outcomes of the engagement?
Every project concludes with a report with defined indicators: compliance level, risks identified and addressed, and audit readiness. The results are verifiable and documented.
Does POLIVERSUM issue certificates?
No. POLIVERSUM is neither a supervisory authority nor a certification body. We provide independent validation and evidence documentation – regulatory decisions remain with the competent authorities.
Planning to deploy or procure an AI system?
Start with a 45-minute briefing. We will agree the validation scope, the list of evidence required for inspection and the work schedule.
